Understanding Roles and Permissions in PartsManager

Important Note: PartsLedger is now PartsManager. PartsManager retains all of the parts purchasing and warehouse management automation benefits of its predecessor. To read more about this exciting change, click here.

 

In PartsManager, formerly known as PartsLedger, you can assign your Users a preset Role or Roles that give them specific permissions to perform specific tasks.

Important Note: You cannot create a custom Role or edit existing Roles in PartsManager.

What is a Role?

Role is a collection of Permissions that can be assigned to a user or users to give them access to data and perform actions in PartsManager. Roles are preset and cannot be customized or created.

To view available Roles, follow the instructions below:

  1. On the Navigation Bar, click Admin.
  2. Then click Users.
  3. Click the Roles Tab, at the top of the page.
  4. Here you can view all Role's Names and Descriptions. 

What is a Permission?

A Permission is an individual authorization given to a Role that enables users with that role to access data or perform specific actions.

To view the permissions for a role follow the instructions below:

  1. On the Navigation Bar, click Admin.
  2. Then click Users.
  3. Click the Roles Tab, at the top of the page.
  4. Next to the relevant role's name, click the Arrow icon to expand and view the permissions for this role.

Use the Chart below for reference on what each permission allows:

Permission Description
accept:SalesQuote Users can mark Sales Quote as accepted. Sales Quotes are not used in PartsManager.
adjust:Stock Users can Adjust and Manage Stock Adjustments.
approve:JournalEntry Users can approve Journal Entries
close:Ledgers Users can close Ledger Accounts.
create:CostCenter Users can create new Cost Centers
create:Item User can Create Items.
create:JournalEntry Users can create Journal Entries.
create:LedgerAccount Users can create Ledger Accounts.
create:Location Users can create Locations.
create:Product Users can create Products. Products are not used PartsManager.
create:PurchaseOrder Users can create Purchase Orders.
create:SalesOrder

Users can create Sales Orders.

*Creating new Sales Orders in PartsManager can cause issues in ServiceTrade. You should always create a Sales Order, by creating a new Job in ServiceTrade.

create:Users Users can create new Users.
create:Vendor

Users can create new Vendors.

*Creating new Vendors in PartsManager can cause issues in ServiceTrade. Please contact Customer Support if you need to delete a Vendor.

create:Warehouse

Users can create new Warehouses.

*Creating new Warehouses in PartsManager can cause issues in ServiceTrade. Please contact Customer Support if you need to delete a Warehouses.

delete:CostCenter Users can delete Cost Centers.
delete:Item User can Delete Items.
delete:JournalEntry Users can delete Journal Entries.
delete:LedgerAccount Users can delete Ledger Accounts.
delete:Location  Users can delete Locations.
delete:Product Users can delete Products. Products are not used in PartsManager.
delete:PurchaseOrder
Users can delete Purchase Orders.
delete:SalesOrder

Users can delete Sales Orders.

*Deleting Sales Orders in PartsManager can cause issues with ServiceTrade. You should never delete a Sales Order.

delete:Vendor

Users can delete Vendors.

*deleting Vendors in PartsManager can cause issues in ServiceTrade. Please contact Customer Support if you need to delete a Vendor.

delete:Warehouse

Users can delete Warehouses.

*deleting Warehouses in PartsManager can cause issues in ServiceTrade. Please contact Customer Support if you need to delete a Warehouses.

fulfill:Item Users can fulfill Items on Sales Orders.
issue:PurchaseOrder Users can issue Items on Purchase Orders.
issue:SalesQuote Users can issue Items on Sales Quotes. Sales Quotes are not used in PartsManager. 
list:AuditLogs Users can view Audit Logs.
list:CostCenters Users can View Cost Centers.
list:Items Users can View Items.
list:LedgerAccounts Users can view Ledger Accounts.
list:Locations Users can view Locations.
list:Products Users can view Products. Products are not used in PartsManager.
list:PurchaseOrders Users can view Purchase Orders.
list:SalesOrders Users can view Sales Orders.
list:Settings Users can view Settings.
list:Users Users can view Users.
list:Vendors Users can view Vendors.
list:Warehouses Users can view Warehouses.
receive:Items Users can receive Items on Purchase Orders.
reject:SalesQuote Users can reject Sales Quotes. Sales Quotes are not used in PartsManager. 
update:CostCenter
Users can update Cost Centers.
update:Financials Users can update Financials.
update:Item Users can Update Items.
update:Job

Users can update Jobs.

*Jobs are not used in PartsManager. This is NOT referring to ServiceTrade Jobs.

update:JournalEntry Users can update Journal Entries.
update:LedgerAccount Users can update Ledger Accounts.
update:Location Users can update Locations.
update:Product Users can update Products. Products are not used PartsManager.
