Project Management Release Notes (March, 1 2023)

The latest release from ServiceTrade Web App sees major changes to Jobs that enables you to indicate whether a job is a regular Job (Work Order) or a Project. We call this the Job Mode.

Depending on the Job Mode, the system will enable additional features that will be apparent upon saving that change. This release will affect ALL users, but some users may see more or less based on their ServiceTrade Subscription and the level of access (permission) they were given.

Below is a color code to determine what features will be available to which users:

  • All Subscription Levels
  • Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

The New Web App features included in this March 1, 2023 release are as follows:

  • A new Job Mode (scope of work for jobs) that you can select called 'Projects' that allows you to create budgets, manage change orders, and track work in progress.
  • A new Job Name field
  • A new look Job Page
    • A Job or Project Details Tab
    • Set a Start Date
    • Set a Due By Date
    • A Project Performance Tab
      • View and track your project's Performance (WIP)
    • Track the Days Remaining on a Project
    • Set a Percentage Complete
  • Updates to Change Orders
    • Add a New Service via a Change Order
  • Updates to Budgets
    • Sync Budget Items to a Job

A New Look Job Page

This feature is available to All Subscription Levels.

The Job Page has a new look to it!

  • You can give your Job a Name
  • With the new Project Badge, you can now easily identify if Job is set to Project Mode.
  • The Manage Job and Due By icons have a new look.
  • For Projects, there is a new Start Date and % Complete option.
  • The Job Details look new and are now in a Details Tab.
  • For Projects, there is a new Performance Tab.

New Job Project Toggle

This Project feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

However, the Project Tab will be visible to All Subscription Levels.

This release features a new Job Mode (scope of work) that you can toggle on for a job called a Project. Projects allow you to:

  • Give your Job a Name
  • Automatically enables budgets
  • Set a Start and Due By Date
  • Track the Days Remaining on a Project
  • Set a Percentage Complete
  • View and track your project's Performance (WIP)

All newly created Jobs will default with the Job Mode Project toggle off. To set a Job's Job Mode to Project, follow the instructions below:

  1. On a Job Page, click Manage Job.
  2. Click to toggle on the Manage Job as a Project toggle.
    • Note: If you cannot access this feature, the toggle will be greyed out or not present, and you cannot click to toggle on. If a Job is a Project and has an existing budget, you will also be unable to toggle off this feature.

  3. Enter any other relevant information.
  4. Click Save when done.

This will automatically enable the ability to create Budgets via the Create Budget button under the Act on this Job menu. It will also add new information, including Start DateDays Remaining, Percentage Complete, Details Tab, and Performance Tab.

 

Name Field for Job Names

This feature is available to All Subscription Levels.

There is a new Job Name Field.

  1. On a Job Page, click on Manage Job.
  2. Enter a Job Name.

  3. Click Save when done.

The new Job Name will appear at the top left of the Job Page.

If no name is entered, the Job Name will auto-populate with the following information:
"{Job Type} Job #{Job Number}"

In the example below, the Job Type is a Retrofit, and the Job Number is 28541021.

So if you leave Job Name blank and then save, it will auto-populate the following information above.

The Details and Performance Tab

The Details Tab

This feature is available to All Subscription Levels.

Clicking on the Details Tab allows you to view basic Job Details in a new design and arrangement for the following information: Job Owner, Job Location, Company, Job Contact, Job Salesperson, Customer PO, Office, Contract and Job Description.

Many of our customers use long Job Descriptions that take up a lot of real estate on job pages. Job Description is now partially hidden under a text fade. This allows you to preview and expand the Job's Description quickly.

The Performance Tab

This feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

The Performance Tab gives our customers a bird's eye view of how their Project is performing in relation to the proposed budget against their project's current cost and invoiced work.

Feature Description
View Budget Button

The View Budget button opens up your Job's budget.

View WIP Button

The View WIP button opens up your Job's Performance Page.

Total Incurred Cost

Shows the total amount of the current cost incurred on the project. Items on a Project will count towards "Incurred Cost" when given a "Used on Date."

It also shows the percentage of cost vs budget total.

Calculation: (incurred cost /  budget total) = percentage

Revised Budget Is the most recent Budget Total.
Total Invoiced Shows the total price amount invoiced on this project.
Expected

is the Overall Value (total price) on the Budget.

It also shows the percentage of overall value vs. total invoiced.

Calculation: (Total Invoiced /  Overall Value) = percentage

Projected Margin Is the Estimated Margin on your budget.
Remaining Budget

It is simply the remaining amount of budget.

Calculation: Budget Total - Incurred Cost = Remaining Budget

 

 

The Performance Page

This Project feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

The Peformance Page allows you to get a detailed view of how your Project is performing in relation to your Budget. The Performance Page will change as you set Used on DatesSource Vendorscreate Invoices, and create Change Orders for Job Items.

To navigate to the Performance Page:

  1. On a Job Page, click the Performance Tab.
  2. Click the View WIP button.

  3. This will open the Performance Page on a separate tab or window.
  4. The video below will walk you through how to use the Performance Page.

 

Project Percentage Complete

This Project feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

Projects will have a Percentage Complete field to enter manually enter in a Job's completion. This can only be done when a budget has been enabled.

Many of our customers use different calculations to determine how far along their Project is in percentage. For this reason, this field does not auto-populate a percentage complete.

  1. Click the Percentage Complete field.
  2. Enter the percent number.
  3. Click Save.

New Search Fields on the Job List Page

There will be two new search fields, "Job Name" and "Job Mode", that will be added to the Job List page.

Job Name will allow you to search for a Job based on its custom Job Name.

When you enter a search in this field, it will only return matches with Jobs that have a custom Job Name. You must search using the Job Number if you have not given your job a custom name.

Job Mode will allow you to narrow your search based on the job vs. project selector.

 

New Job List View

Anywhere that Jobs are listed will have a new format. The information will be organized in cleaner columns with a slightly different layout.

  • A Project Job Mode indicator will be present on the top left of any job with a job mode 'Project.'
  • The new Job Name will display as the clickable link for this job. If no custom Job Name is provided, this link will default to the Job's Location Name.
  • The Time Period column added a Start and Due date field.
  • Cleaner layout of the columns. See Gif below for improvements:

Add a New Service via Change Order

This Project feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

You can now add a New Service to a Budget via a Change Order. Click here for more information on Change Orders.

  1. On a Budget Page, click the Create Change Orders button.
  2. Click the + Add Service button.
  3. Follow the normal steps for creating a service.
    • Note: This can only be a one-time service; you cannot add a recurring service via a Change Order. You can also not use Service Templates.
  4. From the new Service, you can + Budget Items.
  5. Follow the normal steps to adding items and sending the Change Order.

Syncing Budget Items to Job Items

This Project feature is only available to Premium and Enterprise Subscription Customers in our Project Management Early Adopter Program.

If you add Budget Items to a Budget, you can apply these changes to Job Items. Click the following article to learn more about Budgets.

  1. Follow the normal steps for creating and adding items to a budget.
  2. At the bottom left of the budget, check to select the Apply these changes to Job Items automatically checkbox.
  3. Click Save.
