How to Import Stock Adjustments Into PartsManager

For almost every bulk stock adjustment, you want to perform a Stock Count Upload for each individual Warehouse. See How to Import Stock Counts (Cycle Counts) into PartsManager, formerly known as PartsLedger.

This article will walk you through how to import your Stock Adjustments across all Warehouses into PartsManager. This is typically used when you have new warehouses that you have to create stock for or you are attempting to zero out your stock for multiple warehouses at once.

IMPORTANT NOTE: This upload tool is very powerful and if not used correctly can cause some very hard to reverse changes. ServiceTrade will not support correcting mistakes made when using this tool.

This bulk import will function similarly to Performing Stock Adjustments. We highly recommend you read this article before attempting to perform Stock Adjustments in bulk.

Importing in PartsManager requires an Account Admin user role. 

How to Input Item Information into the Items Template

  1. Download the Bulk Stock Adjustments Template.csv file
  2. Input your Stock Adjustment Information into the relevant fields.
    • The Bulk Stock Adjustments Import Template has 9 field columns. The table below will define the field names in each column:
  3. After filling out the template, save it as a .csv file type.
Field Name Description
transactiondate

*required The date stock adjustment took place.

Format: YYYY-MM-DD

type

*required Enter "adjustment"

quantity

*required the quantity of the item stock adjustment. Can be negative or positive.

Important Note: Entering a value here will add or subtract from an existing stock.
So for example, if you have 8 of an item in stock and you adjust the quantity by 5. Your stock will be 13 after this adjustment.

currency

*required if quantity is a positive value The type of currency. Typically this field will be "usd" or "cad".

price

*required if quantity is a positive value

The Unit Price of the item.

costBasis

*required This field should match the value of "price" exactly.

item.number

*required Is the item number. Click here to learn how to find the item number.

warehouse.name

*required The Name of the warehouse for the item you are adjusting stock. This name must be exact.

adjustmentledgeraccount.number

*required The Adjustment Ledger Account Number that you want to record this adjustment to.

 

Where to Find the Item Number and Setting up your Import Template

On the Nav Bar, click Inventory, then click Items.

This will take you to Items List Page. The Number column lists your Item's Number. See the below image:

Importing Items into PartsManager

  1. In PartsManager, on the Nav Bar, click Admin
  2. Click Dimension Upload, to navigate to the Dimension Upload Menu
  3. Click the Dimension Drop-down Menu, and select Stock Adjustment
  4. Click the blue Upload button
  5. Click Choose File and select the .csv Items Import file you just created.
  6. Click the blue Upload button to import your Items.
    • If successful, a record of the completed upload will now be present on the Dimensions Upload list.
      Clicking the blue Upload icon under the Actions column of that record will allow you to download the import file you uploaded.

    • If unsuccessful, a record of the failed upload will now be present on the Dimensions Upload list.

Bulk Stock Adjustments Import Template File

Import this template file into your spreadsheet software. After entering your Items, this file should be saved as a .csv file.
