Using The Project Performance Page

The Peformance Page allows you to get a detailed view of how your Project is performing in relation to your Budget. The Performance Page will adjust as you set item Used on Dates, set item Source Vendorscreate Invoices, and create Change Orders.

You can only access the Performance Page for a Job if its Job Mode is set to 'Project' and you have permission to access it.

 

Navigating to The Performance Page

  1. On a Job Page, click the Performance Tab.
  2. Click the View Performance button.

  3. This will open the Performance Page on a separate tab or window.

The Performance Page

The Performance Page is divided into four sections:

  • Performance Page Header - This section lists the Project's Job Name.
  • Job Details  - This section shows all of the Project's Job Details.
  • Performance Overview - This section provides an overhead view of how your Project is performing in relation to its budget.
  • Performance Summary - This section summarizes how your Project's cost and revenue are performing in relation to each service and job item on the Project's Budget.

Performance Overview

This section provides an overhead view of how your Project is performing in relation to its budget.

Below is a list of descriptions for all the features included on the Performance Overview section.

Feature Description
Total Incurred Cost

Shows the total amount of the current cost incurred on the project. Items on a Project will count towards "Incurred Cost" when given a "Used on Date."

It also shows the percentage of cost vs budget total.

Calculation: (incurred cost /  revised budget) x 100 = percentage

Revised Budget

Is the most recent Budget Total.

Materials

Displays the total current cost vs. the budget's set cost for material-type job items.

Labor Displays the total current cost vs. the budget's set cost for labor-type job items.
Labor Hours Displays the total current labor hours vs. the budget's set total labor hours.
Total Invoiced Displays the total price amount invoiced on this project.
Expected

Displays the Overall Value (total price) on the Budget.

It also shows the percentage of overall value vs. total invoiced.

Calculation: (Total Invoiced / Expected) x 100 = percentage

Estimated Margin

Displays the Estimated Margin on your budget.

Calculation: (Expected Revenue - Budget Total) / Expected Revenue = Estimated Margin

Actual Margin

Displays the current Gross Margin on your Project.

Calculation: (Total Invoiced - Job Cost Total) / Total Invoiced = Actual Margin

*Job Cost Total will include all cost listed on the job, regardless of whether or not they have a 'Used on Date' applied. If you have items without used on dates on the job, this could throw off your actual margin.

If you want to calculate the actual margin using incurred and committed cost you would use the following formula:
(Total Invoiced - (Total Committed + Total Incurred)) / Total Invoiced

Ready to be Invoiced

This field under total invoiced shows the expected revenue for all job items with a Used on Date.

 

Performance Summary

This section summarizes how your Project's cost and revenue are performing in relation to each service and job item on the Project's Budget. The performance metrics and values are organized in seven data columns.

As you perform work on the project, the performance metrics will adjust as you set Used on Dates, Source Vendors, create Invoices, and create Change Orders for Job Items on the project.

View by Service or Item Type

You can change it so you can view performance by item type:

  1. Click the View by: drop-down menu.
  2. Select Item Type.

View Metrics by Dollar or Quantity

The metrics in the image above are set so we can view them by Dollars (and percentage) on the project.

You can change it so you can view metrics by quantity. Click Qty on the view by toggle.

Click to Expand Metric View

Clicking any of the arrows facing to the right will expand the metric view.

So for Item Type View, clicking the arrow for any item type row will first expand the service summary for that item type. Clicking the arrow on the service will expand a job item summary for thet service and item type.

So for Service View, clicking the arrow for any service will first expand the item type summary for that service. Clicking the arrow on each item type summary will expand a job item summary for each item type on the service.

Performance Summary Data Columns

The summary has seven different data columns that give you valuable metrics about your Project's performance. They include (click the link to jump ahead):

Original Budget

Once a Project has been given a budget with budget items and locked. The Original Budget totals will be populated in the performance summary. This column is a good reference for what you initially expected this project's budget to be.

Change Orders & Revised Budget

When you perform a change order, you are revising the budget. Click here to learn how to create and send a change order.

When a change order has been approved on a project's budget, the Change Orders and Revised Budget totals will be populated in the performance summary.

Revised Budget = Original Budget + Change Order

Total Committed

When a Job Item has been ordered from a vendor using item sourcing (or PartsLedger) on the Project, that item's cost total will appear in the Total Committed column.

Below are instructions on how to manually make a Job (Project) Item count towards your Total Committed column:

Note: This process should happen automatically if you order items for a Job with PartsLedger.

  1. On the Job (Project) Page, click to open the Parts | Labor | Items accordion.
  2. Click the pencil icon on the top right corner.
  3. For the item that you want to commit, click the Select source.
  4. For Source, select Parts Vendor.
  5. For Status, select either 'Not yet ordered' or 'Ordered'.

    • Note: When your status changes to 'Received', the item's cost will be removed from Total Committed.

  6. After filling out the other fields, click OK.
  7. Repeat Steps 1-6 for other items, and click Save when done.

Total Incurred

When a Job Item has been given a Used on Date using item sourcing on the Project, that item's cost total will appear in the Total Incurred column. You indicate that this job item has been used on the job, and you have now incurred the cost of that item.

Based on your settings, this will appear as a Dollar Value or Quantity and a Percentage in parentheses. The percentages are calculated as follows: Percentage = (Total Incurred / Revised Budget) x 100

Below are instructions on how to manually make a Job (Project) Item count towards your Total Incurred column:

Note: Most of the time, items will be marked as used by Technicians in the field.

  1. On the Job (Project) Page, click to open the Parts | Labor | Items accordion.
  2. Click the pencil icon on the top right corner.
  3. Click the Used On (mm/dd/yy) field for the item you want to incur the cost.
  4. Select a Used on Date.
  5. Repeat Steps 1-5 for other items, and click Save when done.

Expected Revenue

The expected revenue column populates the price totals for items on the project's budget. So if an item were given a price on the budget, this field would have a value for that item.

Invoiced

The invoiced column populates the price totals for items on the project that have been invoiced. So if an item was invoiced on the project, this field would have a value and a percentage.

The percentages are calculated as follows: Percentage = (Invoiced / Total Incurred) x 100

I made a change to my Job or Budget, and it is not showing on the Performance Page?

It can take up to five minutes for ServiceTrade to run calculations for changes made to a Project on the Performance. Waiting and refreshing should resolve any issues.
