Exporting Data / Generating Reports

ServiceTrade currently offers rich exports of most of your data.  These exports are .csv files, which may be opened in Excel, LibreOffice, Google Sheets, Apple Numbers, or similar software.  They may also be printed once opened in a spreadsheet program.

Note: Printing exports/reports directly from ServiceTrade is not supported.

Exports are generally found wherever you can search. Below we cover which exports are available and where.

How to Export All Data

  1. On the relevant search page, click reset to clear your search.
  2. Then click Search to search all data.
  3. Click the Export to Spreadsheet drop-down in the upper right of the search page frame.

  4. Click to select the relevant type of export. This will download the .csv file.

How to Export Select Data

  1. On the relevant search page, enter the search parameters for your export.
  2. Then click Search to search the specific data.
  3. Click the Export to Spreadsheet drop-down in the upper right of the search page frame.

Jobs Exports

To export Jobs data, navigate to the Jobs List Page and then follow these instructions. The following types of exports are available on the Jobs List Page:

  • Jobs
  • Jobs and Appointments
  • Jobs and Clock Events
  • Jobs and Job Items
  • Jobs and Services

Appointments Exports

To export Appointment data, navigate to the Appointments List Page and then follow these instructions. The following types of exports are available on the Appointments List Page:

  • Appointments
  • Appointments with Services

Quotes Exports

To export Quotes data, navigate to the Quotes List Page and then follow these instructions. The following types of exports are available on the Quotes List Page:

  • Quotes
  • Quotes and Services

Deficiencies Exports

To export Deficiencies data, navigate to the Deficiencies List Page and then follow these instructions. The following types of exports are available on the Deficiencies List Page:

  • Deficiencies

Invoices Exports

To export Invoice data, navigate to the Invoices List Page and then follow these instructions. The following types of exports are available on the Invoices List Page:

  • Invoice Totals
  • Invoice Details

Companies Exports

To export Company data, navigate to the Companies List Page and then follow these instructions. The following types of exports are available on the Companies List Page:

  • Companies

Locations Exports

To export Locations data, navigate to the Locations List Page and then follow these instructions. The following types of exports are available on the Locations List Page:

  • Locations
  • Locations and Recurring Services
  • Locations and Assets
  • Locations and Contacts

Assets Exports

To export Assets data, navigate to the Assets List Page and then follow these instructions. The following types of exports are available on the Assets List Page:

  • Assets
    • Note: This option will export all the assets searched for on the Asset List Page. It will NOT include all asset details, because asset details can be different from one asset to another. However, it will include some standard fields such as Asset Type, Asset Name, Asset ID, Asset Status, etc.
  • Assets with Details
    • Note: This option will ask users to select a specific asset type they want to export. It will export all fields related to that specific asset. This export cannot be combined with other asset types in ServiceTrade.
  • Assets and Deficiencies

Contacts Exports

To export Contact data, navigate to the Contacts List Page and then follow these instructions. The following types of exports are available on the Contacts List Page:

  • Contacts

Contracts Exports

To export Contract data, navigate to the Contracts List Page and then follow these instructions. The following types of exports are available on the Contracts List Page:
Note: This will only export a list of your contracts and their IDs, it will NOT list the individual prices and rules contained in the contracts.

Users Exports

To export User data, navigate to the Users List Page and then follow these instructions. The following types of exports are available on the Users List Page:

Vendors Exports

To export Vendor data, navigate to the Vendors List Page and then follow these instructions. The following types of exports are available on the Vendors List Page:

Items Exports

To export Item data, navigate to the Items List Page and then follow these instructions. The following types of exports are available on the Items List Page:

Google Calendar Exports

This extension allows you to export scheduled jobs for a given technician as a CSV to import into Google Calendar.

ServiceTrade Data Warehouse

ServiceTrade Customers with an Enterprise Subscription will have access to the ServiceTrade Data Warehouse.

Enterprise Customers can access the ServiceTrade Data Warehouse using Amazon QuickSight.  By leveraging ServiceTrade's integration with QuickSight, managers, owners, and business analysts can run advanced reports and gain insights into customer service data.

Reference Numbers on Records

Companies, locations, jobs, invoices, quotes, and deficiencies all have assigned reference numbers. This section details how each entity's reference number can be located.

Quotes and Deficiencies

Quotes and deficiencies have assigned reference numbers, distinct from their internal record IDs.  Quote and deficiency reference numbers will not be the same as their internal IDs as shown in the URL below. See example:

Those reference numbers are visible in all the places where quote and deficiency numbers are shown; for instance, on quote online customer views and print views.


These reference numbers are available on exports in the ref_number column:

They are also displayed via the ServiceTrade API in the refNumber property:

Jobs and Invoices

Jobs and Invoices in ServiceTrade have an identifier field referred to as their number (e.g., 'job number'; 'invoice number'). These numbers are presented in exports in both the number and ref_number columns, and in the ServiceTrade API as both number and refNumber:

Locations and Companies

Location and company reference numbers are accessible through exports and the ServiceTrade API, but they are not visible in the ServiceTrade web user interface or mobile applications.
