What is Visible to Techs and Helpers on the Mobile App

This article walks you through what a Technician and a Helper can view on the Mobile App and Tablet View. The view activities below will be based on the default Account Tech and Account Tech Helper Roles.

Account Tech Role

What is Visible to Techs

Techs can only access the Mobile App and Web App View.

  • Job Appointments assigned to the Tech that are scheduled, unscheduled, and marked complete.
  • Job Appointments that are assigned to other nearby techs within 250 miles.
  • The Job Appointment's Scheduled Date and Time.
  • The Job's Job Type.
  • What other Techs are scheduled on the Appointment.
  • The Job's Owner.
  • Clock Event Activity history for the logged-in user.
  • Techs can view Location and Job information for any of their listed Appointment's including:
    • Location Address.
    • Services that have been added to the Appointment.
    • Any Job, Location, or Service Comments only marked as "Tech" Comments.
    • All Deficiencies at the Location.
    • All Job or Service Attachments.
    • All Location level Contacts.
    • All Job Items including their Item Code, Description, Cost, Service Line, Quantity, Used On Date, Source and what Service the Item is associated with.
    • All Job Appointment and Location Asset information including Service History, Deficiencies, Attachments and Tags.
  • Blank Paperwork that has Paperwork Rules set for the Job Appointment.

 

What can Techs Manage?

  • Clock In and Clock Out as their user for On-Site, En Route, and Job Preparation Clock Events.
  • Send an En-Route Notification to Location Contacts.
  • Create a Work Acknowledgement.
  • Create a Pre-Work Authorization.
  • Techs can edit Location and Job information for any of their listed Appointment's including:
    • Services that have been added to the Appointment can be Marked Complete, made Visible To the Customer, Service Attachments, and Service Comments.
    • Any Job, Location, or Service Comments that were added by the user.
    • All Job or Service Attachments.
    • All Job Items including their Item Code, Description, Service Line, Quantity, Used On Date, Source and what Service the Item is associated with.
  • Techs can add Location and Job information for any of their listed Appointment's including:
    • Job, Location, or Service Comments can be added and made visible to techs or everyone.
    • Add Deficiencies at the Location.
    • Add Job, Service, Deficiency, Asset, and Paperwork Attachments.
    • Add Location level Contacts.
    • Add Job Items including their Item Code, Description, Cost, Service Line, Quantity, Used On Date, Source and what Service the Item is associated with.
    • Add Location Asset information.

 

What is Not Visible to Techs?

  • Company information including Address, Contacts, etc.
  • Item Price.
    • This activity can be added if and only if the 'Account Tech + Invoice' role has been assigned.
    • or the activity permissions below have been added to a custom role.

  • Company or Location Attachments.
  • Comments not marked as "tech comment." 
  • Location Tags.
  • Clock events for all other Techs.

 

Account Tech Helper Role

What is Visible to Helpers

Helper Techs can only access the Mobile App. They do not have access to Web App View.

  • Job Appointments assigned to the Helper that are scheduled, unscheduled, and marked complete.
  • Job Appointments that are assigned to other nearby Techs within 250 miles.
  • The Job Appointment's Scheduled Date and Time.
  • The Job's Job Type.
  • What other Techs are scheduled for the Appointment.
  • The Job's Owner.
  • Clock Event Activity history for the logged-in user.
  • Helpers can view Location and Job information for any of their listed Appointments including:
    • Location Address.
    • Services that have been added to the Appointment.
    • Any Job, Location, or Service Comments only marked as "Tech" Comments.
    • All Deficiencies at the Location.
    • All Job or Service Attachments.
    • All Location level Contacts.
    • All Job Items including their Item Code, Description, Cost, Service Line, Quantity, Used On Date, Source and what Service the Item is associated with.
    • All Job Appointment and Location Asset information including Service History, Deficiencies, Attachments and Tags.

 

What can Helpers Manage?

  • Clock In and Clock Out as their user for On-Site, En Route, and Job Preparation Clock Events. (Cannot mark Service or Jobs complete when clocking out)
  • Send an En-Route Notification to Location's Contacts.
  • Helpers can add Location and Job information for any of their listed Appointment's including:
    • Add Job, Service, Deficiency, Asset, and Paperwork Attachments.

 

What is Not Visible to Helpers?

This list is all the things a Helper can't view in the Mobile App (in addition to What is Not Visible to Techs.)

  • The Create and View Pre-Work Authorization button.
  • The Create and View Work Acknowledgement button.
  • The View More Details (Tablet View) button.
  • The Notify Customer button.
  • The Paperwork tile.
  • No Add or Edit Access for everything but Attachments.

What if I want to create a Custom Role with more or fewer activities?

What if I want a Helper to have more activities?

The 'Account Tech Helper' Role cannot be copied or edited.  You must create a Custom Role by copying an 'Account Tech' and revoking privileges from that custom role.
