Important Note: If you are interested in the Sage Intacct + ServiceTrade Integration, note that there is an annual subscription and an initial setup fee. Please reach out to your Account Manager for more information.
Before you configure your integration between ServiceTrade to Sage Intacct, you should add ServiceTrade as an authorized Web Service Sender.
How to Add a ServiceTrade Web Service Sender Account
- In Sage Intacct, select the Top Entity.
- Click the Nav Bar drop-down.
- Select Company.
- Click the Setup tab.
- Under Configuration, click Company.
- Click the Security tab.
- Click Edit to edit your settings.
- Scroll down and click Add under 'Web Services authorizations'.
- Add 'ServiceTrade' as an authorized Web Service Sender.
Create a Web Service User
- In Sage Intacct, Click Applications.
- Click Company.
- Select the Admin tab, and then click on Subscriptions.
- On the subscriptions page, navigate to the bottom and turn on Web Services.
- Once turned on, Click the Done button in the upper right.
- Next, Click on Company in the top left, and then select Company from the dropdown list.
- Click on Web Services users under the Admin tab.
- Click the Add button.
- On the Create User menu, enter the following:
- User ID - ServiceTrade
- First and Last Name - Web Service User
- Email - Something accessible by someone who uses Sage Intacct. It shouldn't be a personal email.
- User Type - Business
- Admin Privileges - Full
- Click Save when done.
- Once you have received the email to set up this user's password, store this information safely.
- Once the user is created, you need to edit the user’s subscriptions and make sure they have access to ALL applications & permissions.
- Click on Subscriptions on the new user's row in the Web Services users list.
- Check all boxes to ensure the user has access to all applications.
- Next, click on the Permissions link for each Application/Module, and ensure that all permissions are granted for that specific Application/Module.
- On each permissions page, click on the All radio button to grant all permissions, then click Save once complete.
- Repeat Steps 11 and 12 for all Applications/Modules for the Web Services user, to ensure that all permissions are granted.
Additional Sage Intacct Setup
You will need to enable customer auto-numbering in Intacct.
Enable all the Dimensions in Intacct that you want to use for the integration.
- Possible Intacct dimensions are Department, Employee, and Location (Location Dimension should be used only if you are using a multi-entity Intacct account).
If you wish to have Intacct generate invoice numbers, enable transaction auto-numbering in Intacct.
If you wish to use multiple entities, enable multi-entities in Intacct.
Select an Intacct user that you want to use for the integration. All activities that ServiceTrade performs in Intacct will be made on that user's behalf.
Note: This user must be an administrator user in Intacct.
Setting up the Intacct Connection in ServiceTrade
- While logged into a ServiceTrade account with Admin permission, click your account-Avatar (top-right of the screen), then click Account Settings
- On the right side of this page, click the Add an External System button.
- From the Type drop-down menu, select Intacct.
- Enter a System Name and System Label following the naming criteria described above these fields.
- We recommend that your System Name should be 'intacct' and your System Label should be 'Intacct' (if you do not have a multi-entity Intacct account) or the name of the entity in Intacct for which you're creating this connection (if you do have a multi-entity Intacct account).
- We recommend that your System Name should be 'intacct' and your System Label should be 'Intacct' (if you do not have a multi-entity Intacct account) or the name of the entity in Intacct for which you're creating this connection (if you do have a multi-entity Intacct account).
- On the next screen, enter the Company ID, User ID, and Password of the Intacct Web Service User account you just created then click the "Authenticate with Intacct" button.
- Verify that the user that established the connection from ServiceTrade to Intacct (the username/password pair that was entered on the first Intacct setup screen) is a full administrator user with access to all the entities in Intacct. Sage Intacct recommends that you use the 'xml_gateway' user that is available with all Sage Intacct accounts that have web services enabled. If you do not wish to use the 'xml_gateway' user, the user that you select should be a "Business" user in Intacct, and it should be granted access to web services.
- Verify that the user that established the connection from ServiceTrade to Intacct (the username/password pair that was entered on the first Intacct setup screen) is a full administrator user with access to all the entities in Intacct. Once the configuration settings are saved, you can now send invoices from ServiceTrade to Intacct.
