You can use the Customize Time Entry Views window to set up time entry views that can include the columns shown in the following table. A time entry view is used when entering earnings during Enter Time, Enter Checks, Change Unposted Time, Change Posted Time, and Void Checks. You can choose columns in any order, but the order may influence automatic rate retrieval.

Amount |
Column for the amount of earnings calculated for this employee. This prefills with either:
Note: If you do not include this column in your time entry view, you must include the Units column. If you want payroll operators to enter hours but not see the rate or amount, leave the Rate and Amount columns out of the time entry view; then the Pay (Regular, Overtime, and Other), Gross pay, Check net, and Check amount items will be blank in the Check Information window. |
Certified? |
Column with a check box, which is selected if the earnings entered are for a certified job. This check box prefills based on the Payroll daily entry control - certified job for the associated job in Job Cost, or the selection for Exclude from certified report in the Misc Info tab of the Employee Setup window. When entering earnings, you can clear the check box so that earnings entered for a certified job do not appear on a certified report. |
Certified class |
Column for the employee's certified class for government jobs. This prefills with the certified class entered in the Entry Info tab of the Employee Setup window. If rates are retrieved from a pay rate table, place this column before the Pay ID column to ensure the correct rate is retrieved. |
Date |
Column for the date associated with employee earnings. This prefills with the computer's system date. Note: This column must be included in the time entry view if you are importing daily records or if you include the Start time and End time columns. |
Department |
Column for the employee's department. This prefills with the department ID entered in the Entry Info tab of the Employee Setup window. |
Description |
Column for a description associated with employee earnings. |
Employee |
Column for the employee ID. |
End time |
Column for the end time associated with the employee earnings. If you include this column in the time entry view, the Start time column is included automatically, and you must also include the Date column. The entries in the Start time and End time columns can be used to automatically prefill the Units column. |
EQ cost code |
Column for an EQ cost code for the equipment cost generated by this employee's work. This prefills from the EQ cost code entered in the Entry Info tab of the Employee Setup window. Note: This column is only available if the interface to Equipment Cost is activated. The name of this item may be different because this term can be customized in the Custom Descriptions window; select File > Company Settings > Custom Descriptions. |
Equipment |
Column for an equipment ID. This prefills from equipment in the Entry Info tab of the Employee Setup window. If you include this column, you must also include either the EQ cost code column or set up an EQ detail entry view. Note: This column is only available if the interface to Equipment Cost is activated. The name of this item may be different because this term can be customized in the Custom Descriptions window; select File > Company Settings > Custom Descriptions. |
Expense account |
Column for the General Ledger expense account affected by the employee earnings. This prefills depending on how you have set up Payroll. See How General Ledger expense accounts are . |
Job |
Column for the job the employee worked on. This prefills with the job ID entered in the Entry Info tab of the Employee Setup window. If you include this column, the Job cost code column is included automatically. If you are tracking JC extras in Job Cost, the Job extra column is also added automatically. Note: This column is only available if the interface to Job Cost is activated. |
JC category |
Column for the employee's JC category of work (such as labor, materials, or subs). You must include the Job column before you can select this column. If the JC category is not entered in the time entry view during earnings entry, this prefills with the JC category entered for the pay in the Pay Setup window. Note: This column is only available if the interface to Job Cost is activated and if JC Settings is set to always use categories. |
JC cost code |
Column for the cost code on the job the employee worked on. This prefills with the JC cost code ID entered in the Entry Info tab of the Employee Setup window. If you selected the Job column, this column is selected automatically. Note: This column is only available if the interface to Job Cost is activated. The name of this item may be different because this term can be customized in the Custom Descriptions window; select File > Company Settings > Custom Descriptions. |
JC extra |
Column for the job extra the employee worked on. If you selected the Job column and are tracking JC extras in Job Cost, this column is selected automatically. Note: This column is only available the interface to Job Cost is activated and you are tracking JC extras. |
Local |
Column for the local tax group associated with the earnings. This prefills with the local tax group entered for a job in Job Cost, or with the Work Local entered in the Entry Info tab of the Employee Setup window. Note: The name of this item may be different because this term can be customized in the Custom Descriptions window; select File > Company Settings > Custom Descriptions. |
Misc 1 and Misc 2 |
Columns for miscellaneous codes for the employee. These columns prefill with the Misc 1 and Misc 2 codes entered in the Entry Info tab of the Employee Setup window. Note: The name of this item may be different because this term can be customized in the Custom Descriptions window; select File > Company Settings > Custom Descriptions. |
Pay ID |
(Required) Column for a pay ID. This prefills with the pay ID entered in the Entry Info tab of the Employee Setup window. If rates are retrieved from a pay rate table, place this column after all other distribution columns (job information, department, union information, certified information, etc.) to ensure the correct rate is retrieved. |
Rate |
Column for the rate associated with employee earnings. After entering a pay ID, the rate prefills:
If a rate exists in both places, the higher rate is used. |
Shift |
Column for the shift associated with employee earnings. This prefills with the Shift entered in the Entry Info tab of the Employee Setup window. |
Start time |
Column for the start time associated with the employee earnings. If you include this column in the time entry view, the End time column is included automatically, and you must also include the Date column. The entries in the Start time and End time columns can be used to automatically prefill the Units column. |
State |
Column for the state tax group that is associated with the earnings. This prefills with the state tax group entered for the job in Job Cost if the grid includes job information. If not, this column prefills with the Work State entered in the Entry Info tab of the Employee Setup window. If the time entry view also includes the WC state column, place this column before the WC state column to ensure that WC state prefills correctly when entering earnings. |
Union class |
This column is included automatically if you select the Union ID column. This prefills with the Union class entered in the Entry Info tab of the Employee Setup window. |
Union ID |
Column for the employee's union. This prefills with the Union entered in the Entry Info tab of the Employee Setup window. If you include this column in the time entry view, the Union class and the Union local columns are included automatically, |
Union local |
This column is included automatically if you select the Union ID column. This prefills first from the job local table, then from the Entry Info tab of the Employee Setup window. |
Units |
Column for the units (such as hours, miles, or pieces) associated with employee earnings. If the units are hours and you have included the Start time and End time columns, this column prefills based on the starting and ending times entered during earnings entry. Note: If you do not include this column in your time entry view, you must include the Amounts column. |
WC code |
Column for the employee's workers' compensation code. For information about prefills, see How WC codes prefill. |
WC state |
Column for the employee's workers' compensation state. This prefills with the WC state in the Entry Info tab of the Employee Setup window. If a WC state was not entered for this employee but the grid includes job information, the State entered for the job is used. If a WC state was not entered for the employee, and the grid does not include job information, the State entered for tax purposes is used. If the time entry view also includes the State column, place this column after the State column to ensure that WC state prefills correctly when entering earnings. |
