Creating and Managing Service Timecard Templates

With Service Timecard you can create custom template exports. This allows you to create exports that will fit the requirements of your accounting system imports.

The following article will walk you through the process of creating custom export templates and making them your default template for your Service Timecard.

How to Create a Custom Template

  1. Log in to timecard.servicetrade.com
  2. Click Settings in the sidebar.
  3. Click the Template Settings accordion to expand the menu.
  4. Click the Add Template button, to begin creating a custom Template.
    • Note: For each new account created, you will see the Templates Default (Clock Type) and Labor Default (Labor Type). These cannot be deleted, and are automatically created when Service Timecard is activated for your account.

  5. Enter a custom Template Name then click Next
  6. Select a Type of Template then click Next.
    • Labor - will display Labor Type Items sourced to relevant Techs in ServiceTrade.
    • Clock - will display Clock Event from relevant Techs in ServiceTrade.
    • Expenses  - Will display non-Labor Type Items sourced to relevant Techs in ServiceTrade.
  7. Select whether you would like to have Item Codes Ungrouped or Grouped.
    • An ungrouped export will have a single Job Item per row separated by Item Code and date.
    • A grouped export will contain a single Tech per row with a sum of Job Items by Item Code in the weekly period.
      A grouped template will NOT show any date fields (used on date, begin date, date.) It will only show the sum of all activities, items, and events for a specific week per technician.

  8. Check to select 1 or more of your Templates columns' data sources from the Columns drop-down menu.
  9. Rename the default column names to your desired heading names, if necessary.
    • Example: If you selected the technician_id default column, but your accounting system spreadsheet header for this field needs to be user_id. You would rename the technician_id column to user_id.
  10. Drag and drop the columns fields to Order the Columns for your custom Template export.
  11. Click Finish when done.

Note: When setting a default export, this will either be grouped or ungrouped as you cannot have more than one default template for the template types (Labor items and Clock events.)

 

How to Manage Templates

  1. Log in to timecard.servicetrade.com
  2. Click Settings in the sidebar.
  3. Click the Template Settings accordion to expand the menu.
  4. Follow the steps in the next sections for viewing, setting as default, editing, and deleting templates.

How to View and Set Templates as Default

  1. On the relevant Template row, click the eye-shaped View More icon.
    • This will show you the type, grouped type, column fields, and header names
  2. Click Save as Default to make this the default export template.

How to Edit Templates

  1. On the relevant Template row, click the pencil Edit icon.
    • Default Templates cannot be edited.
  2. Follow the same steps in How to Create a Custom Template.

How to Delete Templates

On the relevant Template row, click the trashcan Edit icon.

Note: There is no prompt. This will delete your template immediately.
