How to Import Items Into PartsManager

Important Note: PartsLedger is now PartsManager. PartsManager retains all of the parts purchasing and warehouse management automation benefits of its predecessor. To read more about this exciting change, click here.

 

This article will walk you through how to import your Items into PartsManager, formerly known as PartsLedger.

Note: There is no way to update item prices using the Dimension Upload tool. Importing in PartsManager requires an Account Admin user role.  Items that are imported will not auto-sync, and will have to be done manually. Please contact your PartsManager Administrator or Customer Support.

 

How to Input Item Information into the Items Template

  1. Download the Items Template .csv file
  2. Input your Item Information into the relevant fields.
    • The Item Import Template has 9 field columns. The table below will define the field names in each column:
  3. After filling out the template, save it as a .csv file type.
Field Name Description
name *required The identifier for the Item or Item number
sku *column required, but field may be left blank.
The item’s SKU number set by the Vendor or your company
description *required What the Item is or what your company knows it as
salePrice

*required Always use 0.01

Note: PartsManager does not calculate sale price nor store sale price.

purchasePrice *required Amount your company buys the item for
InvoiceAccount.number

*required Account number for all the invoices

Note: If you do not have an Invoice account, insert 0

BillAccount.number

*required Account number for all billing transactions

Note: If you do not have an Invoice account, insert 0

InventoryAccount.number

*required Account number associated with Inventory transactions

CogsAccount.number

*required Account number associated with finalized transactions and closed jobs

 

Importing Items into PartsManager

  1. In PartsManager, on the Nav Bar, click Admin
  2. Click Dimension Upload, to navigate to the Dimension Upload Menu
  3. Click the Dimension Drop-down Menu, and select Items
  4. Click the blue Upload button

  5. Click Choose File and select the .csv Items Import file you just created.
  6. Click the blue Upload button to import your Items.
    • If successful, a record of the completed upload will now be present on the Dimensions Upload list.
      Clicking the blue Upload icon under the Actions column of that record will allow you to download the import file you uploaded.

    • If unsuccessful, a record of the failed upload will now be present on the Dimensions Upload list.

Items Import Template File

Import this template file into your spreadsheet software. After entering your Items, this file should be saved as a .csv file.
